Overview

Little Bees is Swarm Labs’ nursery management platform, “the hive that runs your nursery”. Spotlight’s brief was everything around the application: a warm, calm identity for one of the most stressful professions there is, and infrastructure that takes safeguarding seriously, giving every nursery its own completely separate, private data store from the moment they sign up.

Little Bees is an all-in-one nursery management system for UK childcare settings: nine modules covering live registers, learning journals, government funding, billing, compliance and a parent app. It was designed alongside nursery managers, early-years leads and safeguarding officers, and serves nursery staff on one side and parents on the other.

Challenges

Childcare software carries a heavier duty of care than most, and the brief reflected it:

  • Safeguarding-grade privacy: children’s records and compliance information deserve more than one big shared database; nurseries need privacy they can explain to a parent or an inspector in one sentence.
  • Calm for a stressful profession: nursery staff work on their feet with a device in one hand, so the software had to feel warm and unhurried, not like corporate office tools.
  • Nine modules, one hive: registers, learning journals, funding, billing, messaging, reporting, staff management, meal planning and a parent app all had to feel like one product.
  • Live by nature: room registers and staff-to-child ratios change minute by minute, and the platform had to keep up all day, every day.

Solution

Spotlight designed the identity and built the platform’s home:

  • A warm honey-and-hive identity: cream pages, honey and sage accents, a soft honeycomb texture and friendly type make the screens feel like a well-run nursery rather than a spreadsheet.
  • A private data store for every nursery: when a nursery signs up, the platform automatically creates a database and file store that belong to that nursery alone. Their records aren’t just labelled as theirs inside a shared pot; they are physically separate.
  • Nothing to break: the whole platform runs on Cloudflare’s worldwide network rather than a traditional server, so it’s fast everywhere and there’s no machine to crash or fall behind on security updates.
  • Careful, checked releases: every update passes through a rehearsal environment and a human sign-off before it reaches nurseries, with automatic security scanning along the way.

Results

Little Bees is live at littlebees.io with the full nine-module platform behind it. Every nursery that joins gets its own private database and file store, automatically: an arrangement simple enough to reassure a parent and rigorous enough for a safeguarding officer. The warm hive design carries unbroken from the marketing page to the live room register and the parent app, and there are no servers for anyone to patch or maintain.
